Identify the amount before disputing it

What you see What to establish Next step
Pending card amount Whether it is an authorization hold Ask the supplier about release and the issuer about the card record
Completed damage charge Damage alleged, contract basis and calculation Request an itemized explanation and supporting evidence
Separate excess insurance Whether you must claim reimbursement Follow that policy's notification and document requirements
Card dispute Whether the issuer can examine the transaction Ask promptly about eligibility, evidence and deadlines

Do not treat a hold as proof that money has been finally charged. Equally, a supplier's release message does not establish when your available balance will change. The deposit guide explains the distinction.

Build a short evidence file

Put the booking, agreement, condition reports, collection and return photographs, receipts and correspondence in date order. Preserve original image files. Note the time you returned the car and whether staff inspected it with you.

Ask the supplier to identify the damaged part, provide dated inspection photographs and explain why the damage is attributed to your rental. Request the assessment, repair estimate or invoice used to calculate the charge, plus the basis for any administration or loss-of-use amount. A request for evidence is more useful than an accusation unsupported by your documents.

Write to the rental supplier's complaints channel. Include the intermediary if the dispute concerns what it sold, promised or collected, while identifying which business took the damage payment. Ask for a written final response and a case reference. Do not assume that copying the platform starts an insurer's claim.

Choose a complaint route that fits

ECC assistance is residence-based. A resident of another EU country, Norway or Iceland with a complaint against a Cyprus trader should approach the centre in their country of residence. For a Cyprus resident disputing a Cyprus trader, the domestic Consumer Protection Service is a different route. Its role does not guarantee recovery of an individual payment.

If you live elsewhere, ask the relevant consumer body or adviser about eligibility rather than assuming your passport or reading language qualifies you for ECC help. An alternative dispute resolution service also has its own jurisdiction, trader participation and admissibility rules.

Ask your card issuer promptly whether a dispute is possible. A chargeback is not an automatic refund and there is no single deadline suitable for every card, claim and country. Keep the supplier complaint, card dispute and insurance claim consistent, and disclose any refund to avoid seeking the same loss twice.

Use a factual message

State the booking reference, amount and date, the exact charge you challenge, your supporting evidence and the remedy requested. The complaint template supplied with this guide provides those fields. Replace its placeholders and remove statements that do not fit your case.

For a separate reimbursement product, read the rental insurance guide and the policy itself. For future hires, use the collection and return checklist to preserve the evidence before a disagreement arises.
